How to Set Up a Discovery Call Workflow

Automate everything around your discovery calls in MONDAi. Confirmation, reminders, pre-call prep email, and post-call follow-up — all running without manual effort.

A discovery call workflow automates everything before, during, and after the call itself. The person books, they get a confirmation. They get reminded. They get a pre-call email. After the call, they get a follow-up. All of it runs automatically — no manual emails, no forgotten follow-ups, no inconsistent experience.

Build it once and every future discovery call runs on the same professional experience regardless of how full your week is.

The Five-Part Workflow

Part 1 — Booking Confirmation (immediate)

Trigger: Appointment Booked on your discovery call calendar. Actions: Send confirmation email with date, time, meeting link, and what to prepare. Add tag "discovery-call-booked". Move contact to "Discovery Call Booked" pipeline stage.

Part 2 — Pre-Call Prep Email (24 hours before)

Wait: appointment-relative — 1 day before. Action: Send email with 2–3 reflection questions. Sets the tone and makes the call more productive for both of you.

Part 3 — Reminder SMS (1 hour before)

Wait: appointment-relative — 1 hour before. Action: Send SMS: "Your call with [Name] is in 1 hour. Join here: [link]"

Part 4 — Post-Call Follow-Up (30 minutes after scheduled end)

Wait: appointment-relative — set to fire after the scheduled call end time. Action: Send follow-up email recapping the conversation and the next step. Create Task: "Review call outcome and update pipeline stage."

Part 5 — Conditional Follow-Up (if no pipeline update after 48 hours)

Using an If/Else condition: if the contact has not been tagged as "client" or moved to Closed Won within 48 hours of the call, trigger a soft follow-up email.

Common mistakes
  • Using fixed time delays instead of appointment-relative waits — see How to Build an Appointment Reminder Sequence for the critical difference.
  • Omitting the post-call follow-up — this is often the highest-converting touch in the entire sequence.
  • Forgetting the pipeline stage update action — your pipeline stays stale without it.
  • Building the workflow without testing end-to-end.
