How to Build Your First Workflow

Create your first automation workflow in MONDAi. Set a trigger, add actions, activate, and let MONDAi follow up for you automatically.


A workflow in MONDAi is a rule: when this happens, do this. When a contact submits a form, send a welcome email. When a tag is added, start a nurture sequence. When an appointment is booked, send a confirmation. Every workflow is built from the same two building blocks: a trigger and one or more actions.

The automation engine inside MONDAi runs on GoHighLevel's workflow infrastructure — one of the most powerful in the industry, used at scale by agencies and creators worldwide.

Workflow Anatomy

Trigger: the event that starts the workflow. One trigger per workflow. Actions: everything that happens after. One email or a full multi-week sequence with delays, conditions, and multiple channels.

Steps

  1. Go to Automation → Workflows

  2. Click Create Workflow

    Select Start from Scratch or choose a template.

  3. Name the workflow clearly

    Use a descriptive name: "New Lead — Welcome Sequence" or "Purchase — Course Access + Email".

  4. Set your trigger

    Click Add New Trigger. Choose the event — form submission, tag applied, appointment booked, order placed.

  5. Add your first action

    Click the + after the trigger. Choose: Send Email, Send SMS, Add Tag, Wait, Add to Pipeline.

  6. Continue adding actions to build the sequence

  7. Toggle status to Active

    A workflow in Draft does not run.

  8. Test with a single contact before going live

Common mistakes
  • Leaving the workflow in Draft — it does not run until Active.
  • Using vague workflow names.
  • Building complex workflows without testing first.
  • Forgetting Wait steps between emails — without them, all actions fire simultaneously.
